Privacy Policy

GRND Collective (“we”, “us”) operates the GRND Collective tracker app (the “App”) at grnd.ricoxjourney.com and as an iPhone app. This policy explains what we collect, why, who can see it, and the choices you have. Contact us any time at team@ricoxjourney.com.

Who this is for

The App is a coaching tool for adults. It is not directed to children, and we do not knowingly collect data from anyone under 14.

What we collect

  • Account information — your name, email address, an optional phone number, and the sign-in method you choose: email and password, Google, or Sign in with Apple. If you use Sign in with Apple and choose to hide your address, we only ever receive Apple’s private relay address.
  • Data you log — food, macros, water and caffeine, body weight, measurements, workouts and sets, cardio sessions, check-ins, habits, supplements and peptides, and any notes you write, including optional “feeling” notes tied to items you log.
  • Health and fitness data from Apple Health — only with your permission. See Apple Health below, which lists exactly which fields.
  • Location — only while you are recording an outdoor cardio session. See Location below.
  • Photos, video and audio you create — progress and physique photos, food photos, form-check videos, and voice notes in coach messaging. See Camera, photos and video below.
  • Messages and community content — messages between you and your coach, and, if you use them, posts, comments and reactions in community features.
  • Barcodes you scan — we keep the scanned code and which food databases matched it, so we can see which products the App fails to find and fix them.
  • Fitness integrations (optional) — if you connect Strava, we import the activity data you authorize so it can appear alongside your training. You can disconnect at any time.
  • Coaching calls (when enabled) — appointment details and, where the meeting notice says recording and transcription are enabled, the resulting transcript and AI-generated summary for the coach’s notes.
  • Billing information — if you subscribe, payments are processed by Stripe. Card details are entered in Stripe’s own fields and we never receive them. We receive subscription status only.
  • Device and diagnostics — a push notification token per device so reminders can reach you, basic usage analytics recording which features are used, and crash and performance diagnostics.

Apple Health

If you grant permission, the App reads the following from Apple Health: steps, distance, active energy, workouts, body weight, body composition, heart rate, and sleep. It writes one thing back: the body weight you log in the App, so your weight history stays consistent in one place.

We use this data for one purpose — to run the App’s tracking, trends and coaching features for you. We do not use Apple Health data for advertising or marketing, we do not sell it, and we do not share it with data brokers, advertising platforms, or information resellers. We do not use it for any purpose other than helping you manage your health and fitness.

Apple Health access is optional. You can decline it, grant only some categories, or withdraw it at any time in the iPhone Health app or in iOS Settings, and the App continues to work with the data you enter yourself.

What your coach can see

If you are connected to a coach, that coach can see the tracking data you log and the health and fitness data described above, including data imported from Apple Health. That is the purpose of the coaching relationship, and it is the reason the connection exists — but your coach is a separate person from us, so we state it plainly rather than leaving it implied. Your coach provides you with a health and fitness service; we do not share this data with anyone else who does not.

No other client can see your data. If you are a coach, you can see the data of clients who are connected to you, and nothing else.

Location

The App uses your location for one feature: recording an outdoor cardio session. When you start a run, walk or ride with GPS, we record your position to map the route and measure distance and pace, and the finished route is stored with that activity so you and your coach can see it afterwards.

Recording continues while the App is in the background — with your screen locked or another app open — so a run does not stop being recorded when you put your phone away. iOS shows its own indicator the whole time this is happening. Recording starts only when you start a session and stops when you finish it.

Location is optional. You can decline it, choose “While Using the App” rather than “Always”, or change it at any time in iOS Settings. Declining it does not restrict the rest of the App; you can still log a cardio session by entering it yourself.

Camera, photos and video

With your permission, the App uses the camera to scan food barcodes, take food photos, take progress and physique photos, and record form-check videos. These are uploaded to private storage that only you and a coach you are connected to can reach.

Food photos are sent to a third-party AI provider (Anthropic) to identify the food and estimate portions. On iPhone models with a LiDAR sensor, the App also measures the distance from the camera to your plate so the portion estimate is anchored rather than guessed; the depth scan itself never leaves your device, and only the resulting measurements in centimetres are sent with the photo.

The App can save a share card you create to your photo library. It only ever adds the card you asked it to save, and never reads your photo library.

How we use it

To provide and operate the App, show your data back to you and to your connected coach (and only them), power features you request, process subscriptions, keep the service secure, and fix problems. Some features — understanding food you type or photograph, generating trend insights, or summarizing an enabled coaching call — send the relevant text, numbers, images, or transcript to a third-party AI provider to produce that feature. This is used only to provide the feature you asked for.

How your data is protected and isolated

Your records are protected by database row-level security, so each account can only access its own data — a client’s data is reachable only by that client and a coach they have connected to. We use encryption in transit and reputable infrastructure providers.

Who we share it with (subprocessors)

We do not sell your personal data. We share data only with service providers that help us run the App: Supabase (database, authentication, storage), Vercel (hosting), Stripe (payments), Sentry (error diagnostics), Resend (transactional email), Strava (only if you connect it), Google (calendar and Meet services when a coach connects them), and Anthropic (AI-assisted food parsing, insights, and enabled call summaries). Each processes data only to provide its service to us, under terms requiring it to protect that data to the same standard set out in this policy. No advertising network or data broker receives your data, and we do not use any advertising identifier.

Deleting your account, and your other choices

You can delete your account from inside the App at any time: Settings → Delete My Account. You confirm by typing DELETE. This permanently removes your account and the data attached to it — logs, weights, workouts, check-ins, photos, videos, voice notes, and messages — cancels any active subscription, and cannot be undone. Your uploaded files are removed before the account itself is; if that cleanup cannot be completed, the deletion stops rather than leaving files behind, and you can retry.

Coach accounts cannot be created in the App and cannot be self-deleted there, because deleting a coach would remove their clients’ coaching relationships. If you hold a coach account, contact us at team@ricoxjourney.com to close it.

You can also view and edit anything you log at any time, withdraw Apple Health, location, camera or notification permissions in iOS Settings, disconnect Strava, and request a copy of your data by writing to team@ricoxjourney.com. If you are a California resident, you have the right to know what personal information we collect, to request access to or deletion of that information, and not to be discriminated against for exercising these rights. We do not sell your personal information.

Data retention

We keep your data while your account is active and as needed to provide the App. When an account is deleted, its database records and private uploads are removed as described above. We otherwise delete or anonymize data within a reasonable period after account closure, except where we must retain records to meet legal obligations.

Not medical advice

The App is a logging and tracking tool. It does not provide medical advice and does not recommend, calculate, or adjust any dose of any substance. Any peptide or supplement feature is for your own logging and to help you raise questions with your coach or a qualified professional. Always consult a healthcare professional for medical decisions.

Where your data is processed

The App is intended for users in the United States, and your data is processed in the United States. We do not market the App to users outside the United States.

Changes to this policy

We may update this policy; we will revise the “Last updated” date above and, for material changes, provide notice in the App.
